Preparing equipment and access before a new hire starts
Map a new employee’s first tasks to equipment, accounts and permissions, assign owners and check what is ready before they begin.
Start with the new employee’s work, then prepare the equipment and permissions it requires. A generic ‘set up laptop’ task can be marked complete while the person still cannot join a meeting, open the right file or use the application for their first assignment.
Turn the role into a readiness list
Ask the manager to name the first tasks, the systems used for each and any workplace equipment or protective gear needed. Someone handling customer enquiries may need a device, an approved communications account, the relevant queue and escalation instructions. A field worker may need different tools and safety instruction. Keep the list tied to actual duties.
Record an owner and due date for each item. The manager approves what the role needs; the person administering a system grants access; whoever holds equipment confirms its handover. If one person fills several roles, name them against each task.

Grant access for the work
Check each requested permission against a task, and have the manager confirm it is needed for the employee’s initial duties.
Keep passwords out of the readiness tracker. Arrange activation through the business’s approved method and tell the employee where to get help if it fails. An invitation sent is not the same as a usable account: check sign-in and access to the first assignment with the employee when they start.

Handle late items before the first day
If a device, licence or permission will miss the start date, tell the manager before the employee arrives. Agree on suitable induction or supervised work that can proceed, identify who is resolving the gap and set a time to review it. Do not use another worker’s account to make the checklist appear complete.
Send the employee their arrival or remote joining details and the name of their first-day contact. Confirm equipment and access with them when they start. Close each readiness task when the item works for the initial duties; otherwise record the blocker and its owner.
Handling Late Items Before the First Day
